We have several posts here at Begin Coding Now that are on QuickBooks Online that are grouped into Series. Click the previous link to see the list.

The QuickBooks audit log will be able to show you everything that ever happened to your QuickBooks Online account.

The audit log displays a list of every event that ever happened in your QuickBooks Online account. An event means that something happened. It goes right back to the very beginning of your QuickBooks account creation.

  • We have log in and log out events because we have logged in and logged out.
  • We have events where we changed the settings.
  • We may have entered list items like customers, vendors, products, services and so on.
  • Transactions are events, but there’s a difference between a transaction and a transaction event.

The audit log is a report that you get to from the Reports menu on the left panel. You can click the Cog Wheel, and click Audit log under the Tools column. It’s a standard report under Business overview. You can see what type of event, who, when.

When you filter by a type of event, and you want to change the filter, you must uncheck the previous filter check mark to remove the previous filter. By default, the filter choices act like the OR of an SQL WHERE clause. The more check marks you have checked, the longer this list of returned events.

You can print your results to a hard copy piece of paper or to a PDF file, or you may be able to export it to OneNote.

We can track important changes to list item events. List items are things like the chart of accounts, customers, vendors, products and services and others. The list item event is any time one of these is added, changed or edited or deleted.

For all of the list items displayed in the audit log, you can view the history of that list item. Viewing the history means you can see every change to that list item from the date that it was actually created.

Transaction Dates

A transaction event is different compared to the other events. It has more details. And importantly, you cannot find the transactions in the audit log by the date that was listed or recorded in the transaction. You must find them by the date that they were created. Created means the ‘real life” date that they were entered into the QuickBooks system. How do you find the date created? Use the Journal report.
